CCISPay Payment Services Terms

What this agreement covers
This page covers your church collecting donations through CCISPay. It is separate from the agreement covering your church's subscription to CCIS software.
Your church holds its own payment account, donations go into your church's own bank account, and CCIS charges an agreed fee for running the service.
These CCISPay Payment Services Terms (the "Payment Terms") govern your church's use of the CCISPay online giving service ("CCISPay") operated by CCIS Church Management Software, Inc. ("CCIS", "we", "us"). They apply in addition to, and are incorporated into, the CCIS Terms of Service governing your subscription to CCIS software. Where the two conflict in respect of online giving, these Payment Terms control.
By connecting a payment account through CCISPay, or by accepting a donation through CCISPay, the church ("you", "your") agrees to these Payment Terms. The individual accepting them represents that they are authorised to bind the church.
Your account with Stripe
Donations are processed by Stripe. Your church gets its own Stripe account, in your church's name, connected to CCISPay.
Stripe will ask you to verify your church and confirm the identity of an authorised representative. That is required by banking regulation and cannot be skipped or waived by CCIS.
You are agreeing to Stripe's terms as well as ours. CCIS cannot overrule a decision Stripe makes about your account.
Payment processing for CCISPay is provided by Stripe, Inc. ("Stripe") and is subject to the Stripe Connected Account Agreement, including the Stripe Services Agreement (together, the "Stripe Agreement"). By connecting an account you agree to be bound by the Stripe Agreement, as it may be modified by Stripe from time to time.
A connected account is established in the church's name. As a condition of establishing and maintaining it, you must provide accurate and complete business and beneficial-ownership information and satisfy Stripe's identity-verification requirements. CCIS does not collect, control or adjudicate that information.
Enabling CCIS as your platform. You authorise CCIS to access information about your connected account, to configure it for the provision of CCISPay, and to collect the fees described below. CCIS is not a party to the Stripe Agreement and has no authority to vary, waive or override any determination Stripe makes, including any decision to restrict, suspend or close the account.
Your church is the merchant of record
Donations are made to your church, not to CCIS. The money never sits in a CCIS account.
That means your church is responsible for what it tells donors, for its own tax receipting, and for resolving disputes with its donors. CCIS provides the software; the giving relationship is yours.
CCISPay uses direct charges. Each donation is created on your connected account, and the church is the merchant of record for every transaction. CCIS does not take possession or control of donated funds at any point, does not act as an agent for the receipt of donations, and is not a money transmitter in respect of them.
As merchant of record you are solely responsible for: the accuracy of all representations made to donors on your giving pages; the charitable and tax treatment of gifts received, including the issuance of any contemporaneous written acknowledgement or receipt required by law; and the resolution of any dispute, complaint or claim raised by a donor.
Fees
Two separate costs come out of every gift:
- Stripe's processing fee — set by Stripe, charged to your church's account.
- The CCIS fee — our charge for running CCISPay.
Your church's exact rates are shown in your CCISPay admin console, on the Fees screen, with the date they took effect. We do not publish a single platform rate here because rates are agreed per church.
If donors cover fees, we add the fee on top of the gift so that your church receives the full amount the donor intended to give.
Stripe fees. Stripe's processing fees are determined by Stripe under the Stripe Agreement and are deducted from your connected account. Because CCISPay uses direct charges, these are borne by the church, not by CCIS.
CCIS fees. CCIS collects a service fee on each donation as an application fee on the transaction. The rate applicable to your church, any per-transaction or aggregate caps, and the date from which they are effective, are those recorded in your CCISPay configuration and displayed in the admin console. Rates are agreed per church and may differ between churches.
Donor-covered fees. Where a donor elects to cover fees, the amount charged is calculated so that, after deduction of Stripe's fee and the CCIS fee, the church receives the donation amount the donor selected. Where a donor does not so elect, fees are deducted from the donation and the church receives the net amount.
Nonprofit pricing. Stripe offers discounted processing to eligible nonprofit organisations. Eligibility is determined by Stripe on application, per account, and is not within the control of CCIS. Any discounted rate applies from the date Stripe applies it to your account, and applies only to the card networks and transaction types Stripe specifies. CCIS makes no representation that any application will be approved.
Changes. CCIS will give notice of any change to the CCIS fee before it takes effect. Changes to Stripe's fees are governed by the Stripe Agreement.
Payouts to your bank
Stripe pays donations out to the bank account your church connects during setup, on Stripe's normal schedule.
Payouts cannot start until Stripe has verified your church and you have added a bank account. Keeping those details current is your responsibility.
Settlement of donated funds is made by Stripe to the external bank account designated on your connected account, on the payout schedule applicable to that account. Payout timing, holds and reserves are determined by Stripe under the Stripe Agreement. CCIS does not control payout timing and does not guarantee any settlement date.
You are responsible for maintaining accurate and current bank account and representative details. CCIS has no liability for funds delayed or misdirected as a result of details you have provided or failed to update.
Refunds and chargebacks
You can refund a donation from your admin console. Because the donation was made to your church, the refunded money comes back out of your church's account.
When a gift is refunded:
- The donor is made whole — they get back their full gift, including any processing fee they chose to cover.
- CCIS rebates its margin and keeps nothing on a refunded gift. We charge nothing to issue a refund.
- Your church bears the original processing cost, because the card networks do not return it once a gift has been processed.
If a donor disputes a card charge with their bank (a chargeback), the bank decides the outcome, and there is a $15.00 dispute fee — returned to you only if you win. CCIS can help you respond but cannot decide it.
Refunds may be initiated through the CCISPay admin console. A refund returns the donation amount from your connected account to the donor's original payment method. You are responsible for your church's own refund policy and for its consistency with any acknowledgement or receipt already issued to the donor.
Allocation of fees on a refund. Where a donation is refunded in whole or in part:
- the donor is refunded the full amount they paid, including any processing fee they elected to cover;
- the CCIS service fee is refunded pro rata to the amount refunded, so that CCIS retains no service fee on a refunded donation, and CCIS makes no separate charge for processing a refund; and
- the processing fee originally charged by Stripe is not returned by Stripe on a refund, whether full or partial and irrespective of elapsed time, and is therefore borne by the church.
Chargebacks and disputes are governed by card-network rules and are adjudicated by the issuing bank. A dispute fee of $15.00 applies per dispute received and is returned to the church only where the dispute is resolved in its favour. The dispute fee and any resulting reversal are applied to your connected account. CCIS will make available the transaction records in its possession to assist a response but has no role in the determination.
What we ask of your church
Use CCISPay to collect genuine donations for your church. Specifically:
- Describe your funds and appeals accurately.
- Use donations for the purpose you told donors they were for.
- Keep your own donor records and receipts.
- Don't use CCISPay for anything unlawful, or for a business unrelated to your church.
You represent, warrant and undertake that:
- you are an organisation lawfully entitled to solicit and receive charitable contributions in the jurisdictions in which you do so;
- all fund names, appeal descriptions and other donor-facing content you publish through CCISPay are accurate and not misleading;
- donations will be applied to the purpose represented to the donor;
- you will comply with all applicable laws relating to charitable solicitation, donor acknowledgement and tax reporting; and
- you will not use CCISPay for any unlawful purpose, for any activity prohibited by the Stripe Agreement or applicable card-network rules, or to process payments unrelated to the church's charitable activity.
If Stripe restricts your account
Stripe can pause or restrict an account — usually because verification information is missing or out of date. If that happens, your giving pages stop accepting donations until it is resolved.
Your admin console will tell you what Stripe is asking for, and you can supply it there.
Where Stripe restricts, suspends, or disables charges or payouts on your connected account, CCIS will disable the affected giving surfaces for so long as the restriction persists. CCIS will surface the outstanding requirements reported by Stripe within the admin console.
CCIS is not liable for donations that cannot be accepted, or funds that cannot be paid out, during any period of restriction imposed by Stripe or by a card network.
Stopping
You can stop using CCISPay at any time by turning off your giving pages and notifying us. Recurring gifts your donors have set up must also be cancelled, and CCIS will assist with that.
Your Stripe account belongs to your church. It does not close because you stop using CCISPay.
Either party may terminate these Payment Terms on notice. On termination CCIS will disable your giving surfaces and cease collecting application fees. You remain responsible for cancelling or transferring any recurring donation schedules then in effect, and CCIS will provide reasonable assistance in doing so.
Termination does not affect the church's connected account with Stripe, which is governed by the Stripe Agreement, nor any obligation accrued before termination. Provisions which by their nature should survive termination will do so.

The CCIS Terms of Service are incorporated into these Payment Terms by reference, including their provisions on warranties, limitation of liability, indemnity, governing law and venue. In respect of online giving, these Payment Terms control to the extent of any conflict.
